Document Management Solution Saves Microsoft Time and Money

February 3, 2004 (DENVER) — MuniMetriX, a Digitech Systems Circle of Excellence reseller and developer of Clerks Index, the document management system for public sector entities, announced it has successfully integrated a new document retrieval and content management system at Microsoft Licensing in Reno, NV.

“Our integration of Digitech Systems PaperVision® Enterprise will reduce the over 100 time consuming, license related calls Microsoft Licensing receives every day,” said Bruce Rector, president of MuniMetriX. “Microsoft Licensing had identified that their previous document retrieval and management systems were antiquated, and asked us what we could do to help,” said Rector. The online retrieval will enable Microsoft customers the ability to retrieve and view their product licenses online, without ever calling the Licensing division.

When Microsoft’s products are sold through high volume corporate sales, their licenses are tracked and stored by Licensing, who in turn is responsible for providing images of the physical licenses to these corporate buyers on demand. The document management system used to provide this service is critical to the Licensing division by facilitating the addition of users to their systems, without waiting for the paper licenses to arrive via mail. With the legacy system, searching for requested licenses was time consuming and laborious, and once found it would be sent via e-mail to the requestor. The e-mail process was the “pain point,” of this system, since each page was sent as a separate, inconvenient, attachment. For instance, a fifty-page document would create an unacceptable fifty attachment email. Microsoft’s request to have the legacy system updated by their previous vendor was met with an objectionable cost estimate reaching the thousands of dollars. Bruce recounted how the deal began:

I had not formally pitched our company or its services to this manager, but he was aware of what I did. When he determined that we could eliminate their “pain point” with the Digitech Systems solution, he contacted me to set up a meeting between MuniMetriX and Microsoft Licensing management. After the initial meeting, we saw the potential for a swift and cost-effective solution and set up the next meeting for a week later. It was at the second meeting that we closed the deal. With the easy-to-use PaperVision Enterprise from Digitech Systems, implementation, test, and training was completed division-wide and went live in early July 2003.

The project success was amplified by the licensing manager who said, “We anticipate that the products purchased will save us up to ten times the amount of work we were doing in the past.” This is just another example of how document and content management will continue to deliver competitive advantage and create economic opportunity for companies of any size.
